The Problem with a Once-a-Week Live Webinar Sales Process
Before working with AIxH, Proptiply™ relied on a live Zoom sharing session held once a week. During this session, the co-founder would explain his property investing journey, teach the core concepts behind the strategy, and pitch students to join a bootcamp or class. Interested viewers could then make payment by scanning a QR code, after which the team would follow up through WhatsApp to onboard them.
While the model was proven, it depended heavily on manual effort. Running a live session every week was tiring for the founder, and the quality of delivery could vary from one session to another. Since the webinar only happened once per week, many leads had to wait for the next available session, which reduced convenience and slowed down the sales cycle.
The follow-up process around the webinar was also manual. The team had to send WhatsApp and email reminders by hand to get people to attend. There was no proper nurture sequence before the session to warm up leads with useful content or success stories. If someone registered but did not attend, there was no structured recovery flow. If someone attended but did not buy, there was no second-chance follow-up to continue the conversation and move them closer to a decision.
The payment process also created extra work. Students often started by paying only a booking fee, and the team then had to manually follow up for the remaining payment before confirming a seat in the class. This meant the sales process depended on people remembering to send reminders, answer payment questions, and track each lead manually.
Building an Evergreen Webinar Funnel with an AI Agent
To solve this, AIxH helped Proptiply™ build an AI agent system that manages the journey from lead registration to enrolment. The first major change was replacing the once-a-week live webinar with an evergreen webinar that runs every hour. This gave leads much more flexibility to join at a convenient time, while also making the presentation more consistent by using the same best-performing webinar video across every session.
When a lead came in from paid ads, the AI agent immediately sent confirmation messages through WhatsApp and email. Before the webinar, the AI agent continued to nurture the lead by sharing video content, success stories, and useful context about the opportunity. This helped warm up prospects before they attended the session and made them more likely to show up.
As a result of the stronger nurture and the shift from a once-a-week live session to an hourly evergreen webinar, Proptiply™ increased attendance from 33% to 58%.
Following Up Based on What Each Lead Actually Did
The AI agent was also able to respond differently based on lead behaviour, which made the funnel much smarter than a simple reminder system.
If a lead registered but did not attend the webinar, the AI agent knew the session was missed and could send the correct follow-up, including offering the lead a recording instead of leaving them cold.
If a lead attended the webinar but did not purchase, the AI agent continued the conversation by sharing more value and inviting the lead to join an open house. This gave Proptiply™ another chance to move the lead forward without relying on staff to manually track who needed follow-up.
When a lead agreed to join an open house, the AI agent could check the sales person’s calendar, avoid time conflicts, book the correct slot, and send the calendar invitation automatically. This removed another layer of manual coordination from the sales process.
Automating Booking Fee Confirmation and Remaining Payment
The AI agent also improved what happened after a lead decided to commit. Once a booking fee was paid, the AI agent could immediately confirm receipt and guide the lead on the next steps for completing payment.
This payment flow was integrated with HitPay, allowing leads to pay through PayNow, credit card, GrabPay, or ShopeePay. By giving multiple payment options and confirming payment instantly, the system reduced friction and made it easier for leads to continue their enrolment.
For leads paying only a booking fee upfront, the AI agent could also guide them on how to complete the remaining balance or proceed through instalment arrangements. This replaced the need for staff to manually chase every payment and explain the process one lead at a time.
Removing Routine Human Effort from the Sales Journey
With the new system in place, routine human effort was removed from the repetitive parts of the sales process. The AI agent now handles confirmation messages, nurture content, webinar reminders, no-show follow-up, post-webinar follow-up, open house booking, booking fee confirmation, and payment progression automatically.
This does not mean the human team became unimportant. It means their time could now be used where it matters more. Instead of spending hours on reminders, scheduling, and payment chasing, the team could focus on higher-value conversations and closing moments that benefit from a human touch.
This made the sales process much more scalable while still keeping the business aligned with the AIxH principle of combining AI efficiency with human judgment.
Leverage, Control, and Voice Across the Funnel
This implementation is a strong example of AIxH’s core principles of leverage, control, and voice.
Leverage came from allowing Proptiply™ to run webinar sessions every hour without depending on the founder to repeat the same pitch live every week. The AI agent also handled the repetitive work of reminders, nurture, booking, and payment follow-up across the funnel.
Control came from building clear rules around each lead path. Whether a lead registered, attended, missed the webinar, booked an open house, or made a payment, the next action was clearly defined. This gave the business a more reliable and measurable sales system.
Voice came from the way the AI agent communicated with leads through WhatsApp and email. It did not just send robotic notifications. It spoke in a natural and helpful way, which made the experience feel guided and personal even as the system scaled.
